Whilst this is not necessarily associated with being a commercial-related matter, the simple adage of "what you know" counts.

It is imperative that there is a robust document control system in place which captures all of the transmittals of deliverables and replies thereto.

Better still, have each document hyperlinked so that there is instance access if/when purusing the Summar that hopefully exists.

If any of the above does not seem to be available, ensure that it is implemented and backdated as soon as possible.

It is also good practice to try and prune some of the superfluous information that may make its way into Summaries i.e., oftentimes the whole tranmittal reference is included when more than half, in some cases, is repeated each and every transmittal purely because it is related to the Project Nr, title, generic section reference.

Try to see what can be removed without compromising anything when referencing and that way the Summary can be, hopefully, reduced in width and/or contain more pertinent information in one sheet.

Hyperlinking is of the utmost importance too as it reduces the time taken (by you) to have to constantly refer back to certain documents or else quickly peruse should there be something that has become of interest but does not warrant printing and filing separetely.

That is why, in addition to the above and again, of utmost importance, is to ensure that PDF documents and/or fields are searchable each and every time.

There is almost nothing more frustrating that having to quickly review many documents only to find each and every one has to be "read" in its entirety to see if it does/doesn't contain the information you are searching for.

Whilst not all PDF searches are 100% correct, it does narrow down the ones that aren't highlighted but which may give you concern for reading through to make sure (remember, PDF searches will not necessarily accommodate misspellings or handwritten remarks).
